Frequently asked questions
How long should a quote remain valid?
There's no statutory minimum, but the customary range is 30 to 90 days. Always state the validity date clearly on the quote. After that date you're no longer bound by the price. Our editor adds a « Valid until » field with the date of your choice.
How do I convert an accepted quote into an invoice?
Invoice Creator includes a single toggle that switches between « Quote » and « Invoice » mode. Line items, client and totals are preserved — only the document number, date and legal mentions change automatically (due date instead of validity date, label « Invoice » instead of « Quote »).
Should the quote include a deposit?
If you require a deposit (typically 30% to 50%), it must appear on the quote: amount, percentage and payment terms. This protects both parties. Our editor lets you add a dedicated « Deposit » line and computes the remaining balance automatically.
Does a quote need an electronic signature?
No, acceptance can take any written form: confirmation email, scanned signed quote, purchase order. For larger amounts, add a « Approved for execution » line with a signature area. The generated PDF includes an optional signature block.
What information must a UK quote include?
Issue date, supplier and customer details, detailed description of services, unit prices excl. VAT, VAT rate and amount (20% standard), total excl. and incl. VAT, validity period, payment terms. If VAT-registered, include your VAT number. Our editor adds the country-specific fields automatically.
What's the difference between a quote and a pro-forma invoice?
A quote is a commercial offer that becomes a contract once accepted by the customer. A pro-forma invoice is informational (often used for export customs declarations) and has no contractual or accounting value. In the UK, quotes (or « estimates ») are the standard for B2B work.
Should VAT be shown on a quote?
Yes — the quote must show net prices, VAT rate and amount, and gross total, exactly like an invoice. If you're below the VAT registration threshold (£90,000 in the UK), state « Not VAT registered » so the customer knows no VAT is charged.
